An opportunity has arisen to join our team in the role of Admin and Operations assistant, reporting to the VP R&D. In this role you will provide the highest standard of admin and operations support to three senior leaders from the Business Unit team: BU VP R&D, R&D Director EU (both based in Port Sunlight) and BU Head of CMI (based in 100VE).

    The role provides the opportunity to utilise both your admin and operations management skills and could also offer the opportunity for you to get involved in broader communications and program/project management activities if you desire.


    Providing diary, travel and expenses support to the three BU leaders.

    Owning the BU R&D Leadership Team annual calendar and meeting schedule across three time-zones. Booking the meetings/visits, arranging team activities, defining agenda, collating pre-read, minute taking etc

    Supporting the R&D VP in the preparation of materials for internal and external events. This could include preparing PowerPoint presentation, videos, setting up product displays, shipping product samples, liaising with other teams/external agencies on practical planning and organising, arranging visitor travel etc

    Establishing, maintaining and improving the BU R&D Communications infrastructure – Teams site(s), email distribution lists, org. charts, induction materials etc.

    Tracking, reporting and proactive management of the BU R&D budget including raising and closing of Purchase Orders when needed.

    Being the champion of the R&D physical environment in Port Sunlight – bringing Beauty Culture to life through product displays, product sampling, posters, publications etc


    This role requires proven experience and track record of high performance as a Management Assistant ideally with experience working across locations and time-zones including experience of providing supported both virtually and in person.

    You must be well organised, able to prioritize tasks of high complexity and be able to build relationships with a complex network and key stakeholders across different levels in- and outside of the organization.

    You must be flexible, have a high degree of autonomy, self-confidence, and enthusiasm with strong interpersonal skills. Accuracy and speed are essential.

    Excellence in IT applications including Sharepoint, Teams, Outlook, Word, Excel, and PowerPoint plus ideally experience of Coupa and Concur. You will have the ability to quickly acquire new IT skills to utilise key company software and systems.

    Excellent written and oral communication skills

    Ideally, you will have a passion for Beauty products and Brands and can bring your creative flair to help us establish our Beauty culture and environment in Port Sunlight.
